Invoice Koi

Invoicing for appliance repair technicians

The money on an appliance job is in three different places. There is the service call that gets you through the door, the diagnosis that may be the whole visit, and then a part at trade price with the labor to fit it. A customer who is told one number for all three assumes the worst about all three.

What appliance repair technicians
put on an invoice.

These go in your price book once, with your own prices against them. After that a line is one tap: the item, the description, the unit and the price fill themselves, and the totals resolve underneath.

Prices are yours. Invoice Koi ships a handful of round placeholder lines to start from and never fills your book with figures you did not set.

02Why appliance repair technicians use it

Three things that
save the evening.

The part you bought this morning

Photograph the receipt from the merchant and it is read into an expense with its total and its tax. Put it back on the customer invoice as a line, and taking it off again removes that line and no other.

Service call, diagnosis and labor, priced once

The price book holds your service call, your diagnostic charge and your hourly rate. One tap puts the item, the unit and the price on the line, and the total resolves underneath.

Written in the kitchen, not that evening

Everything happens on the phone with no signal needed, so the invoice is done while you are packing up rather than at nine o'clock from a pile of notes.

03 · Questions

Asked by appliance repair technicians.

How do I show a part at cost and the labor separately?

They are separate lines, and they can sit under separate headings with their own subtotals. The part shows as the part and the hour shows as the hour.

Can I charge a diagnosis fee and take it off if they go ahead?

Yes. Quote the visit as an estimate with the diagnosis on it, then edit the lines when it converts to an invoice. Nothing is fixed once it has been quoted.

What if the part has to be ordered and fitted next week?

Keep the job open and add the return visit as another line when it happens, or invoice the visit now and the fit later. Both end up in the same reports.
